School Photo Consent Form for Parents, Carers and Learners

We are proud of our learning at The Olympus Academy Trust and enjoy sharing the successes of our learners and staff.  We do this within our schools using digital and print displays and in the wider community via our newsletter, on our website and on social media.  We also like to see positive coverage of the school in the local and education press. 

For this reason, we sometimes take photographs and video of our learners.  On some occasions, we will send images to local media outlets or invite them in to film or photograph activities.  Learners may also be interviewed/recorded/photographed by the media, education providers and researchers, or by their hosts when on educational trips and visits. 

We would like your consent to take images of your child and use them in the ways described above.  If you are not happy for us to do this, we will, of course, accommodate your preferences.  We have asked for individual consent for each aspect of use as described above.  If your child is in Year 7 and above, we will also request permission from them as well. 

We know that families also like to photograph or video their children’s successes at school; for example at plays and performances or award presentations.  It is important that any images are for personal use only and are not shared online or via social media.  Please tick the box below to give your commitment to this principle. 

Right to withdraw your permission

You may withdraw your consent at any time.  Please note that the withdrawal does not apply retrospectively although we will make every effort to remove images where possible.  If you decide to withdraw your permission, please email gdpr@olympustrust.co.uk stating the following:

• Name
• School
• Year group
• Reason for withdrawal ie is the reason due to safeguarding concerns 

Why are we asking for your consent?

You may be aware of the General Data Protection Regulations (GDPR).  To ensure we are meeting the requirements, we need your consent to take and use photographs and videos of your child.  We value using photos of our learners so we would appreciate your taking the time to give consent. 

Details of what you are consenting to

We are required to gained separate permissions for the different uses of photographs and videos that we take in our schools.  If you haven’t already done so, when you sign into Arbor you will be prompted to sign the permissions, details of which are below.  Please see above regarding withdrawal of consent at any time.

Acceptable Usage Agreement

Parents and carers of learners in primary school will also be asked to sign the Acceptable Usage agreement, which is part of our Online Safety Policy.  The full policy can be found here, but you will be signing your agreement of Appendix D.

Parents and carers of learners in secondary school do not need to agree to this as the learners are old enough to agree to this themselves, which they do when they log into the Olympus network.
